Estuary Vision Architects Ltd collects personal data from clients & suppliers for the purpose of conducting its business. We do not rent, sell, or otherwise disclose personal information to third parties for their marketing and advertising purposes. This policy covers how and what data we collect and how we use it. How we hold data, and for how long, and how we delete data.

Data Collection - How and what we collect

​Enquiries via the website 'contact us' page, by phone, in-bound email or in person will result in personal data being collected - such as name, email address, telephone number and home / business address.

Attending an in-person workshop or consultation will result in your personal data being collected. This data will be used to notify you about any changes to your chosen appointment/meeting with Estuary Vision Architects.

Information relating to an individuals or organisations style, colour, branding & design preferences as well as interests and hobbies may also be collected as part of the design brief.

Signing up to any newsletters/email marketing will result in your name and email address being used for this monthly email communication. Only individuals who sign-up via the website or by opting in via Instagram or another social media platform will be added to the mailing list. 

When someone visits www.estuaryvisionarchitects.co.uk we use a third-party service, Google 

Estuary Vision Architects may, in the future, offer a free downloadable information sheet, pdf or similar. We collect the name and email address of only those individuals who opt-in or request the information via social media or directly from our website. These details are then added to a mailing list. An opt-out is available on every communication sent.

Cookies Policy

Cookie files are simple text files that are stored on your computer or mobile device by a website’s server. Each cookie is unique to your web browser. It will contain some anonymous information such as unique identifier, website’s domain name, and some digits and numbers.

  • Analytical cookies.  These cookies enable us and third parties to collect aggregated data for statistical purposes on how our visitors use the website. These cookies do not contain personal information such as name and email address. This information is only processed in a way which does not identify anyone. We do not make, and do not allow Google to make, any attempt to find out the identities of those visiting our website.

Data Storage

Information is held in both electronic and paper format.

Electronic data is held on an electronic database, planning and building regulations applications, CAD software, as well as in Microsoft Excel, Microsoft Word, and Microsoft PowerPoint. All electronic equipment is password protected. 

Paper based notes, drawings, sketches, and ideas are also kept in a 'client file'. Client files are housed in a secured office and only accessible by employees of Estuary Vision Architects. 

Both electronic equipment and paper filing are housed at Estuary Vision Architects in a secured, locked office space.

Data Retention and Deletion

We retain personal information for as long as necessary to provide the services clients have requested, or for other essential purposes such as complying with our legal obligations, resolving disputes, and enforcing our policies.

Data will be deleted after it is no longer necessary for us to retain.

Electronic data is permanently deleted from all devices & electronic storage & back-up facilities.

Hard copies of information containing personally identifiable data are shredded.

Data Uses - What we do with data

We collect data to allow us to correspond with clients & suppliers and in conjunction with carrying out our design services in both domestic and commercial environments.

Design Data is collated to assist in developing a design concept that reflects the interests, characteristics, and functionality requirements of the client.

Data collected as part of an opt-in will be used to add the individual to the Estuary Vision Architects mailing list for communication from Estuary Vision Architects only.

Data may also be used as part of follow up to client & suppliers such as ‘Thank You’ notes, additional work phases or projects, and requests for portfolio photography.

Data may be shared with associated third-party trades/suppliers in conjunction with carrying out design work and at the request of or in agreement with the client/supplier.

We attempt to minimise the amount of personal information we disclose to third parties to what is directly relevant and necessary to accomplish the specified purpose.

Estuary Vision Architects cannot be held responsible for how third-party trades/suppliers handle data but would expect them to fully comply with GDPR.

Access to Data

As defined under the Data Protection Act and the GDPR, clients & suppliers can make an information request for data held on them by contacting Estuary vision Architects in writing at: Estuary Vision Architects, Spruce Close, West Mersea, Colchester, Essex. CO5 8PU.

Unless a legitimate reason is given to extend the timeframe, the relevant data will be provided within 28days.

If you believe any information being held about you is incorrect, please email info@estuaryvisionarchitects.co.uk as soon as possible and this will be investigated. Any information found to be incorrect will be corrected.
